Via the Windows group policies, permissions in viflow can be adjusted and paths to viflow-relevant files can be defined.

The corresponding files are always located in the viflow directory and can be used either locally or via the Group Policy Management Console.

  • Copy the contents of the "Policies" folder in the viflow  program directory
  • Copy contents to the "%systemroot%\PolicyDefinitions" folder or "\\domain.tld\SYSVOL\domain.tld\Policies\PolicyDefinitions" folder
  • Open the "Editor for local group policies" via "Start". In the Active Directory the "Group Policy Management Console" must be used



The following options are available in viflow 7:

- Options

- License Proxy - This policy setting allows you to manage the settings for the activation proxy. When you enable this setting, the configured settings for the activation proxy are used. If you disable this setting, no activation proxy is used. If you do not configure this setting, users can configure the settings for the activation proxy themselves.

- General

- Run in developer mode - This policy setting allows you to manage the execution of viflow in developer mode. If you activate this setting, viflow is executed in developer mode. If you deactivate this setting, viflow is not executed in developer mode. If you do not configure this setting, users can decide whether viflow is executed in developer mode. 

- Backup

- Process model folder - This policy setting allows you to manage the process model backup folder. If you enable this setting, the defined folder is used for process model backups. If you disable or do not configure this setting, users can decide which process model backup folder to use.

- Cleanup - This policy setting allows you to manage the number of backups; if you enable this setting, backups above the defined number are automatically deleted. A value of 0 means no deletion. If you disable or do not configure this setting, users can decide how many backups to use.

- Backup after opening - This policy setting allows you to manage backups when a process model is opened. If you enable this setting, the backup is active when you open a process model. If you disable this setting, the backup is not active when you open a process model. If you do not configure this setting, users can decide to run the backup when they open a process model.

- Folder for WebModel - This policy setting allows you to manage the WebModel backup folder. If you enable this setting, the defined folder is used for WebModel backups. If you disable or do not configure this setting, users can decide which folder to use for WebModel backups.

- Backup based on interval - This policy setting allows you to manage regular backups. If you enable this setting, regular backups are enabled. If you disable this setting, regular backup is not active. If you do not configure this setting, users can choose to run regular backups.

- Backup interval - This policy setting allows you to manage the interval at which data backups are performed. If you enable this setting, the defined interval for backups is used. If you disable or do not configure this setting, users can decide which interval to use for backups.

- Backup after export to WebModel - This policy setting allows you to manage backups when exporting to the WebModel of a process model. If you enable this setting, the backup is active when exporting as a Process Model WebModel. If you disable this setting, backup is not active when exporting as a Process Model WebModel; if you do not configure this setting, users can choose to run the backup when exporting as a Process Model WebModel.

- Diagnostics

- Usage statistics - This policy setting allows you to manage the collection of usage statistics in viflow. If you activate this policy setting, viflow records usage statistics. If you disable this policy setting, viflow does not collect usage statistics. If you do not configure this policy setting, users can decide whether viflow should collect usage statistics.

- Process model 

- Lock additional text settings - This policy setting allows you to manage additional text settings. If you activate this setting, the settings for the additional text are locked. If you disable or do not configure this setting, users can specify the additional text settings.

- Lock logo settings for output - This policy setting allows you to manage logo settings for output. If you enable this setting, logo settings are locked for output. If you disable or do not configure this setting, users can specify the logo settings for output.

- History / Process Sharing

- Additional recipients - This policy setting allows you to manage additional workflow email addresses. If you enable this setting, e-mails will additionally always be sent to the defined e-mail addresses. If you disable or do not configure this setting, users can decide whether to send emails to additional email addresses.

- Process Audit message - This policy setting allows you to manage the process audit message. If you enable this setting, the defined message will be used. If you disable or do not configure this setting, users can decide which message to use.

- Send notification - This policy setting allows you to manage the sending of notification emails. If you enable this setting, notification emails are sent. If you disable this setting, no notification emails are sent. If you do not configure this setting, users can decide whether to send notification emails.

- Process Approval Workflow Active - This policy setting allows you to manage the use of the process approval workflow; if you enable this setting, the process approval workflow is enabled in viflow. If you deactivate this setting, the process approval workflow is deactivated in viflow. If you do not configure this setting, users can decide whether to enable/disable the process approval workflow in viflow. Note: This setting can affect the settings for using history and/or process sharing, as well as the visibility of the History tab in the Properties window. For a correct combination of the settings, it is recommended to check possible combinations in advance in the viflow options dialog.

- Process share message - This policy setting allows you to manage the process share message. If you activate this setting, the defined message is used. If you disable or do not configure this setting, users can decide which message should be used.

- Initial Object Version - This policy setting allows you to manage the initial version of a new object. If you enable this setting, the defined version is used for new objects. If you disable or do not configure this setting, users can decide which initial object version to use.

- Notification without preview - This policy setting allows you to manage the preview display of notification emails. If you enable this setting, notification emails are sent without preview. If you disable this setting, notification emails are sent with previews. If you do not configure this setting, users can decide whether notification e-mails are sent with or without preview.

- Automatic Historization - This policy setting allows you to manage the use of history. If you enable this setting, historization is enabled in viflow. If you disable this setting, history management in viflow is disabled. If you do not configure this setting, users can decide whether historization in viflow should be deactivated/activated. Note: This setting can affect the settings for using history and/or process sharing, as well as the visibility of the History tab in the properties window. For a correct combination of the settings, it is recommended to check possible combinations in advance in the viflow options dialog.

- Editing active - This policy setting allows you to manage the editing of entries in the history. If you activate this setting, entries from the past can be edited. If you deactivate this setting, entries from the past cannot be edited. If you do not configure this setting, users can decide whether entries from the past can be edited.

- Summary Required - This policy setting allows you to manage the use of the Summary field in the history. If you enable this setting, the Summary field is required. If you clear this setting, the Summary field is not required. If you do not configure this setting, users can choose whether to fill in the Summary field.

- Work in Parallel

- Design / Major Version - This policy setting allows you to manage parallel work for process models in a database. When you activate this policy setting, parallel mode is activated. If you disable this policy setting, parallel mode is disabled. If you do not configure this policy setting, users can decide whether to use parallel working in a process model.

- Single user mode - This policy setting allows you to manage single user mode for process models in a database. When you enable this policy setting, single user mode is enabled. If you disable this policy setting, the single user mode is disabled. If you do not configure this policy setting, you can select the single user mode in a process model.

- Manual conflict handling - Use this policy setting to manage conflict handling for process models in a database. When you enable this policy setting, conflict handling is enabled. If you disable this policy setting, conflict handling is disabled. If you do not configure this policy setting, users can decide whether to use manual conflict resolution in a process model.

- Language

- Interface language - This policy setting allows you to manage the interface language of viflow. If you activate this setting, the defined interface language is used in viflow. If you deactivate or do not configure this setting, users can decide which interface language should be used in viflow.

- Content Language - This policy setting allows you to manage the content language of viflow. If you activate this setting, the defined content language is used for all process models in viflow, if available. If you disable or do not configure this setting, users can decide which content language is to be used in viflow.

- Miscellaneous

- Restrict deletion of viflow objects - This policy setting allows you to manage the deletion of viflow objects. If you activate this setting, the deletion of viflow objects is restricted. If you deactivate or do not configure this setting, users can delete all viflow objects.

- Lock creation of process models - This policy setting allows you to manage the creation of process models. If you activate this setting, the creation of process models is blocked. If you disable or do not configure this setting, users can create new process models.

- Restrict data import - This policy setting allows you to manage the import of data into process models. If you enable this setting, only deselected sources are allowed to import data into process models. If you disable or do not configure this setting, users can import data from all sources.

- Lock Backstage - Use this policy setting to manage functions in the backstage. Enabling this policy setting disables the selected functions in the backstage. If you disable or do not configure this policy setting, users can perform all functions in the backstage.

- Information: Clean Up Process Model

- Information: Merge Master Shapes

- Information: Lock / Unlock

- Information: Switch to main / draft version

- Work Offline

- Lock Ribbon - Use this policy setting to manage features on the ribbon. Enabling this policy setting disables the selected functions on the ribbon. If you disable or do not configure this policy setting, users can perform all functions on the ribbon.

- Developer: Sheet: Background

- Developer: Active Directory

- Developer: Localization: Export

- Restrict moving of viflow objects - This policy setting allows you to manage the moving of viflow objects. If you activate this setting, the moving of viflow objects is restricted. If you deactivate or do not configure this setting, users can move certain viflow objects.

- Restrict editing of viflow objects - This policy setting allows you to manage the editing (changing properties, renaming, creating) of viflow objects. If you activate this setting, the editing of viflow objects is restricted. If you deactivate or do not configure this setting, users can rename/create all viflow objects.

- Open defined process model only - This policy setting allows you to manage the opening of process models. If you activate this setting, only the defined process model is opened in viflow. If you deactivate or do not configure this setting, users can open all process models in viflow.

- Restrict data export - This policy setting allows you to manage the export of data from process models. If you activate this setting, the export of data from process models is only permitted for deselected formats. If you disable or do not configure this setting, users can use all data export features.
